About Matthew House Ottawa
Since 2010, Matthew House Ottawa has housed hundreds of refugee claimants and provided quality furniture to more than 17,000 people through our furniture bank program. We have done this with a large, dedicated team of volunteers and a handful of employees, with a lot of passion and commitment.
About this role
The Senior Program Manager, Furniture Bank (FB), is responsible for the overall leadership, operations, and strategic direction of the Furniture Bank program at Matthew House Ottawa. Reporting to the Director of Programs, this role ensures the efficient delivery of services, staff and volunteer management, financial oversight, and community engagement. The Senior Program Manager (FB) plays a key role in program development, risk management, and operational excellence, aligning with the mission, vision, and values of Matthew House Ottawa.
Key Responsibilities & Expected Outcomes
1. Leadership & Strategic Oversight
Outcome: The Furniture Bank program operates efficiently and aligns with organizational goals.
• Lead by example to maintain FB operational standards in line with Matthew House Ottawa’s mission, vision, and values.
• Oversee all aspects of FB operations, ensuring quality service delivery and adherence to best practices.
• Provide leadership, guidance, and support to staff and volunteers, fostering a positive and productive work environment.
• Delegate tasks and responsibilities effectively, empowering team leads to work independently.
• Develop and implement strategies to enhance program efficiency, effectiveness, and sustainability.
• Collaborate with the Director of Programs and Executive Director to set strategic priorities and long-term plans.
2. Program Planning, Management & Implementation
Outcome: The Furniture Bank delivers high-quality services and continuously improves operations.
• Work with the Director of Programs to develop strategic plans, targets, and performance benchmarks for FB.
• Oversee program evaluation, ensuring alignment with Matthew House Ottawa’s annual plan and objectives.
• Develop and improve operational procedures and service standards to enhance efficiency.
• Manage and optimize the delivery of furniture donations to program beneficiaries.
• Oversee trucking requirements, including truck leasing, licensing, and maintenance, ensuring compliance with CVOR and safety regulations.
• Provide hands-on support across FB operations as needed, ensuring seamless service delivery.
3. Financial Oversight & Budget Management
Outcome: The program operates within budget while maximizing impact.
• Collaborate with the Director of Programs and Director of Operations to develop and manage the annual FB budget.
• Monitor revenue and expenses, ensuring financial sustainability and accountability.
• Approve program-related purchases, expense claims, and ensure proper documentation through Dext entries.
• Identify and pursue funding opportunities to support the program’s sustainability and growth.
• Oversee all FB monetary transactions and banking processes, implementing appropriate accounting practices to ensure safe cash handling for audit purposes.
4. Community & Stakeholder Engagement
Outcome: Strong partnerships enhance program reach and effectiveness.
• Develop and maintain relationships with community organizations, donors, and stakeholders.
• Represent the Furniture Bank program in external meetings, community events, and partner collaborations.
• Foster partnerships with other Furniture Banks in Ottawa and across Canada to exchange best practices and resources.
• Advocate for the Furniture Bank’s role in addressing furniture poverty and supporting vulnerable communities.
5. Human Resources & Volunteer Management
Outcome: Staff and volunteers are well-supported, engaged, and equipped to fulfill their roles.
• Establish a positive, safe, and inclusive work environment in accordance with legislation and MHO’s values.
• Collaborate with HR and Volunteer Coordinators to recruit, onboard, train, and support staff and volunteers.
• Provide mentorship and leadership training opportunities for staff in operational roles.
• Execute performance management processes, including regular feedback and annual performance reviews.
• Maintain accurate personnel, client, donor, and volunteer records, ensuring confidentiality and compliance.
• Consult with the Director of Programs on staffing needs, challenges, and succession planning.
• Initiate and oversee disciplinary actions, and conflict resolution, consulting with HR to ensure adherence to MHO’s HR policies and procedures.
6. Risk Management & Compliance
Outcome: The program operates safely and within regulatory requirements to mitigate risks.
• Identify and assess internal and external risks affecting FB operations, implementing mitigation strategies.
• Develop and update emergency response plans for program safety and continuity.
• Ensure adherence to workplace health and safety regulations and organizational policies.
• Report incidents and safety concerns to the Director of Programs for review and corrective action.
7. Reports and statistics
Outcome: Furniture Bank is meeting its desired goals in serving the community and its financial stability.
• Provide monthly statistics and reports to Executive Director and Director of Programs.
Qualifications & Experience
Education: Post-secondary degree/diploma in Social Services, Business Administration, Supply Chain Management, or a related field (or equivalent experience).
Experience: Minimum of 5-7 years in program management, logistics, community services, or a related field.
Leadership & Team Management: Proven experience leading teams and managing staff and volunteers.
Financial Acumen: Experience managing budgets, financial planning, and operational expenses.
Operations & Logistics: Strong understanding of warehouse management, inventory control, and service delivery.
Community Engagement: Ability to build and maintain partnerships with stakeholders and community organizations.
Problem-Solving & Decision-Making: Ability to address operational challenges effectively.
Technical Skills: Proficiency in Microsoft Office, QuickBooks (an asset), and database management.
Other Requirements
Ability to work occasional evenings or weekends based on operational needs.
Willingness to adhere to confidentiality and safeguarding policies.
Valid driver’s license and access to transportation (an asset).
