Job Title: Program Coordinator, Refugee Services

Position Type: Full-time, permanent

Salary: $40,000-$50,000 (dependent on experience), with benefits

Location: Ottawa

Reports to: Executive Director

Since 2010, Matthew House Ottawa has housed hundreds of refugee claimants, and provided free, quality used furniture to about 5000 families. We have done this as a large, dedicated team of volunteers and a small handful of employees, with a lot of passion and commitment.

The role of the Program Coordinator, Refugee Services is to plan, execute, and oversee program at the Matthew House Ottawa: Refugee Services while maintaining an atmosphere that supports the mission, values and Christian ethos of the organisation. This includes acquiring resources and coordinating the efforts of staff, interns and/or volunteers in order to deliver services according to resident and organizational needs. The Program Coordinator seeks to achieve program objectives and oversee quality control throughout the programming cycle.

A smaller but important component of this role will be taking the lead in coordinating communications and/or church engagement for Matthew House Ottawa.

The Program Coordinator must adhere to the vision, mission and values of Matthew House Ottawa.

Areas of Focus - Allocation of Time 

  • Settlement process for incoming residents (e.g. intake, hearings, appeals, liaising with external community contacts) - 30% 

  • Staff and/or volunteer coordination (e.g. delegation of tasks, communication) - 20% 

  • Supporting refugee claimants/residents (e.g. conflict resolution; crisis management; spiritual guidance/help) - 15%

  • Communications and/or church engagement (on behalf of Matthew House Ottawa) - 15%

  • Overseeing management of household - 10% 

  • Program adjustments and streamlining documentation processes - 10% 

Essential Job Functions (including but not limited to): 

  • Overseeing and coordinating Refugee Services programming

  • Leading new residents through the intake process

  • Assisting new residents to connect with various community agencies

  • Screening and recruitment of potential volunteers

  • Overseeing volunteers and coordinating volunteer schedules

  • Effectively communicating project expectations to volunteers in a timely and clear fashion

  • Delegating tasks and responsibilities, when appropriate

  • Coaching, mentoring, motivating and supervising volunteers, influencing them to positive action and accountability for their assigned work

  • Developing best practices and tools for project execution and management

  • Providing oversight and management of the practical day to day operations of the residence (e.g. banking, liaising with tradespeople etc)

  • Support residents as in their transition into housing after Matthew House.

  • Supporting MHO broader goals by taking a lead in communications and/or church engagement

Requirements: 

  • Educational background in social services, social sciences or a related field

  • Significant experience (ideally 3-5 years) working with marginalised peoples

  • Ability to thrive without direct supervision

  • English (speak, read, write) and French (speak)

  • Knowledge of Immigration and Refugee Protection Act

  • Demonstrated cultural sensitivity

  • Experience supervising staff and/or volunteers

  • Current Vulnerable Sector Police Records

  • Check Valid G class driver’s license

  • Access to a vehicle 

Highly Desirable:

  • Experience working with refugee claimants

  • Experience at management level

  • Experience working with social services specific to Ontario

  • Knowledge of the Ottawa rental housing market and negotiating with landlords

  • Experience dealing with and resolving conflicts

  • Background in communications and/or church engagement (stakeholder engagement, social media, public speaking, etc.)

  • Language other than English or French

Additional Competencies: 

  • Ability to effectively prioritise competing tasks

  • Ability to adapt to a fluid workplace environment

  • Ability to implement effective conflict resolution skills

  • Computer literacy in Microsoft Office suite 

Other: 

  • Frequent local travel

  • Ability to work irregular hours if necessary

  • Occasional evening and weekend engagements

  • Ability to deal with emotional stress of residents
